The best hosts treat them as a starting point and adjust the specific details to the guest's actual situation before sending. A check-in template that references a guest's name and their arrival timing feels personal. The exact same template sent verbatim to every guest does not.
Pre-Arrival Templates
1. Booking confirmation follow-up
Send within a few hours of a new booking being confirmed. Its job is to establish contact, set expectations, and reduce the first round of pre-arrival questions.
Hi [Guest name], thanks for booking [Property name] — looking forward to having you. You'll receive detailed check-in instructions closer to your arrival date, but feel free to message here if anything comes up in the meantime. See you on [arrival date].
2. Pre-arrival information (sent 48 hours before check-in)
This is the highest-value template in the library. Sent the day before or two days before arrival, it answers the questions every guest has before they arrive. Write it once per property, get it right, and it will save you dozens of individual replies per month.

5. Early check-in not available
Unfortunately I can't arrange an early check-in for [date] — the previous booking runs close to yours and the turnaround doesn't leave enough time. Your check-in is still confirmed from [standard check-in time]. If you'd like to drop your luggage off earlier, I can arrange that — just let me know your arrival time.
Check-In Day Templates
6. Morning of arrival message
Send on check-in day, ideally mid-morning. Confirms everything is on track and gives guests a direct line if anything comes up on the way.
Morning [Guest name] — just a quick message to confirm everything is ready for your arrival today. Check-in is from [time] at [address]. The access code is [code]. Message me here if you hit any issues on the way.
7. Access problem — guest can't get in
When a guest messages to say they can't access the property. Respond immediately. This is the highest-stress moment in the guest journey.
I'm on it right now. Can you tell me exactly what's happening — is the code not working, or is there a different issue? I'll get this sorted for you straight away.
Follow up immediately with the fix or a call if needed. Do not send this template and then take fifteen minutes to respond to the follow-up.
8. Guest arrived safely confirmation
Once you know the guest is in, a brief check-in message within the first hour settles any early uncertainty and opens the line for any first impressions they want to share.
Glad you made it. Hope the property is everything you were expecting — let me know if there's anything you need or anything that needs sorting.
In-Stay Templates
9. WiFi troubleshooting
The WiFi network is [name] and the password is [password]. If you're having trouble connecting, try forgetting the network and reconnecting. If it's still not working, let me know and I'll look into it.
10. Appliance not working — general
When a guest reports an appliance issue. The goal is to give them a fix immediately, not to acknowledge the problem and then investigate.
Sorry about that. For the [appliance], try [specific troubleshooting step — e.g. "hold the reset button on the bottom left for five seconds" or "check the fuse switch in the cupboard under the stairs"]. If that doesn't fix it, message me back and I'll arrange for someone to take a look.
Keep a property-specific version of this for each appliance your guests are likely to contact you about — dishwasher, washing machine, TV, heating, air conditioning. A template that contains the actual fix is useful. A template that says "I'll look into that" is not.
11. Heating or hot water issue
Comfort issues that affect sleep or basic comfort need faster resolution than anything else. Respond and set a fix timeline, even if that timeline is "tomorrow morning."
Really sorry about this. I'm getting someone to look at it [today / first thing tomorrow morning]. In the meantime, [specific interim solution — e.g. "there are extra blankets in the wardrobe in the main bedroom" or "the immersion heater switch is in the airing cupboard — flip it on and you'll have hot water in about 20 minutes"]. I'll keep you updated.
12. Noise complaint from guest
When a guest reports noise from neighbours or nearby.
Sorry to hear that. If it's coming from [specific source — building works, a neighbour, etc.], [specific context if relevant — e.g. "the works next door are scheduled to finish by midday"]. If it continues, let me know and I'll see what I can do. I appreciate your patience.
13. Noise complaint about the guest (from neighbour or building management)
When you need to pass on a noise concern to guests without being accusatory.
Hi [Guest name] — I've had a message from [the building management / a neighbour] about noise levels this evening. I wanted to flag it with you directly. I'm not sure if it's something you're aware of, but if you could keep things a little quieter from here it would really help. Appreciate you understanding.
14. Property damage reported by guest
When a guest proactively tells you about something they've broken or damaged. Thank them for telling you — guests who report damage and are met with a reasonable response are far more likely to leave a fair review than guests who feel they are being blamed.
Thanks for letting me know — I really appreciate you telling me. We'll sort it out after you leave. Please don't worry about it.
15. Mid-stay check-in
For stays of three nights or more, a brief check-in message on day two or three catches any issues before they become review mentions.
Hi [Guest name], hope you're having a good stay. Just checking in to make sure everything is working well at the property — anything you need or anything that isn't quite right, let me know and I'll sort it.
16. Local recommendation response
When a guest asks for a restaurant or experience recommendation.
For [type of food / experience], I'd recommend [Name] — it's [distance / direction] from the property and [one specific reason it's good, e.g. "the terrace is great in the evening" or "book ahead on weekends"]. [Alternative name] is also worth trying if [Name] is fully booked.
Write a property-specific version of this for the three or four most common request categories: coffee, dinner, casual lunch, and whatever the area is known for. Generic recommendations feel like you googled them. Specific ones feel like local knowledge.
Late Check-Out and Departure Templates
17. Check-out reminder (evening before)
Send the evening before departure. Confirms the time and tells guests what they need to do — which reduces the number of guests who leave without doing the basics and the number who simply forget checkout time.
Hi [Guest name], just a reminder that check-out is tomorrow at [time]. Before you leave: [2–3 specific steps — e.g. "strip the beds and leave linen on the floor, empty the fridge of your items, and leave the keys in the lockbox"]. Thanks for staying — hope it was a good one.
18. Late check-out request — checking availability
Let me check whether that's possible given the turnover schedule and I'll come back to you within the hour.
19. Late check-out confirmed
You're good to stay until [time] — no problem at all. Just make sure you're out by then as I have a check-in following yours.

Unfortunately I can't extend check-out today — I have a back-to-back booking and the turnaround is tight. I'd love to help but it's not possible this time. Check-out at [time] is needed. If you need somewhere to leave luggage after that, let me know and I'll see what I can arrange.
21. Post-departure thank you
Send a few hours after checkout, once you've confirmed the property is clear.

Handling Problems and Complaints
22. Complaint acknowledgement
When a guest raises a serious complaint — something that has materially affected their stay. Acknowledge first, do not justify or explain. The explanation comes later if needed.
I'm really sorry to hear that — that's not the experience I want you to have. Let me look into this right now and come back to you within [timeframe]. I want to make this right.
23. Refund or compensation request
When a guest asks for a refund or some form of compensation. Do not commit to anything in this message. Acknowledge, take it seriously, and set a timeframe.
Thank you for raising this with me. I take this seriously and I want to make sure it's handled fairly. I'll review what happened and come back to you by [time] with a response. I appreciate your patience.
24. Away message (out of hours)
The automatic message that sends when a guest contacts you outside your available hours.
Thanks for your message. I'm not available right now but I'll get back to you by [time]. If you have an urgent issue that can't wait — such as a problem with property access or a safety concern — please call [emergency number].
Keep the response time promise realistic. If you say "by 8am" and reply at 10am, the message has made things worse.
25. General holding message
For moments when you've seen the message but need time before you can give a proper response — prevents the guest from thinking they've been ignored.
Got your message — I'll come back to you properly within [30 minutes / the hour / by this evening].
Making These Work in Practice
Three things determine whether templates improve your guest communication or just create a false sense of having it under control.

Adapt before you send. The guest's name, the specific issue they mentioned, the relevant detail from their booking — add these before you tap send. A template that acknowledges the specific situation feels attentive. A template that clearly was not read before sending feels worse than no template at all.
Review quarterly. Policies change, appliances get replaced, check-in procedures update. A template that still references a lockbox you replaced six months ago sends guests to the wrong place. Set a calendar reminder every three months to read through your quick replies library and update anything that no longer reflects how your properties actually work.
The goal is not to automate every response — it is to remove the friction from the responses that are always the same so that your attention is available for the ones that genuinely require it.
