How to Set Up WhatsApp Business for Your Vacation Rental Property (Step-by-Step)

Most hosts who use WhatsApp for guest communication are using it wrong — personal account, no quick replies, no away message. WhatsApp Business fixes all of that. Here is the full setup in eight steps.

Most vacation rental hosts who use WhatsApp for guest communication are using it wrong. Not because WhatsApp is complicated — it isn't — but because they set it up in five minutes on a personal account and never revisited it. The result is a phone number that mixes guest messages with personal ones, no business profile for guests to verify, no quick replies for the questions that arrive every single day, and no away message when they're unavailable.

WhatsApp Business fixes all of that. It's free, it takes about thirty minutes to set up properly, and the difference between a configured account and an unconfigured one is significant enough to affect guest experience from the first message they send.

This guide walks through the full setup — from downloading the app to having a professional, organised communication channel ready for your next guest.


Before You Start: What You Need

  • A phone number that is not already registered to a personal WhatsApp account. This can be a second SIM, a VoIP number, or a dedicated work number. If you only have one number and it's already on personal WhatsApp, you'll need to migrate it — WhatsApp allows this, but you can only use a number on one account at a time.
  • Your property or business details: name, address, website URL, and a short description.
  • A profile photo: a property photo, your logo, or a professional headshot. Not a stock image.
  • Thirty minutes without interruption.

Step 1: Download WhatsApp Business

WhatsApp Business is a separate app from the standard WhatsApp. Search "WhatsApp Business" in the App Store or Google Play and install it. It has a green icon with a small B — easy to distinguish from the standard app.

Open it and agree to the terms of service.


Step 2: Register Your Number

Enter the phone number you are dedicating to your rental business. WhatsApp will send a verification code by SMS or call. Enter the code to confirm.

If you're migrating a number from personal WhatsApp, WhatsApp will offer to transfer your chat history. For a brand-new business number there's nothing to migrate — skip past this.


Step 3: Build Your Business Profile

This is the section most hosts skip or half-complete. Don't. Your business profile is what a guest sees when they receive a message from an unknown number. A complete profile is the difference between a guest replying and a guest blocking you.

Go to Settings → Business tools → Business profile and complete every field:

Business name. Use your property name or management company name — whatever guests will recognise from their booking confirmation. Keep it consistent with how you appear on Airbnb, Booking.com, or your direct booking site.

Category. Select Hotel & Lodging or Real Estate — both are appropriate for vacation rentals.

Description. Write two to three sentences explaining what you do. Something like: Professional vacation rental management in [city]. We manage [X] properties and are available via WhatsApp for all guest enquiries during your stay. Keep it factual.

Address. Add your business address if you have one. If you operate from home and prefer not to share your home address, leave this field empty rather than adding a misleading one.

Email. Add a business email address. This gives guests an alternative contact path for non-urgent matters.

Website. Add your direct booking website or your landing page if you don't have a standalone site yet.

Profile photo. Upload a clear, high-quality image. A photo of your best property works well. A logo works well. A blurry screenshot of an Airbnb listing does not.

Save the profile before moving to the next step.


Step 4: Set Up Quick Replies

Quick replies are the single biggest time-saving feature in WhatsApp Business. They are pre-written messages you trigger with a shortcut — type / followed by the shortcut keyword and the full message populates. You still tap send, so nothing goes out automatically, but the writing time drops to zero.

Go to Settings → Business tools → Quick replies and build these eight as a minimum:

/checkin Full check-in instructions for the property
/checkout Check-out instructions and departure checklist
/wifi Network name and password
/parking Parking instructions and any permit details
/keys Key collection method — lockbox code, smart lock, in-person handover
/bins Bin day schedule and what goes where
/earlycheckin Your standard early check-in response — what you can offer and when you can confirm
/contact Your emergency contact details or the number to call for out-of-hours issues

A few things to get right when writing these:

Write the full message, not a summary. A check-in quick reply that says "keys are in the lockbox, code is 1234, enjoy your stay" is a template. A check-in quick reply that says "check the welcome pack for instructions" is not.

Write them in the same tone you'd use in any direct message to a guest. If the rest of your communication is warm and conversational, a formal quick reply will feel jarring.

Once you have these eight, you've covered the majority of routine queries for most properties. Add more as patterns emerge from your actual guest conversations.


Step 5: Set Up Your Away Message

An away message goes out automatically when a guest messages outside your stated hours. Go to Settings → Business tools → Away message.

Toggle it on. Set the schedule to your away hours — the times when you won't be actively monitoring the account.

Write the message itself carefully. It should do three things:

  1. Confirm the message was received
  2. Tell the guest when they'll hear back
  3. Give them a path for genuine emergencies

A working example:

Thanks for your message. I'm not available right now but I'll get back to you by [time]. If you have an urgent issue that can't wait — such as a safety concern or a problem with property access — please call [emergency number].

What it should not do: apologise excessively, use corporate language, or promise a response time you can't deliver. If you say "within one hour" and it takes three, the message has made things worse.


Step 6: Set Up Your Greeting Message

A greeting message goes out automatically the first time a guest messages you, or after 14 days of inactivity. Go to Settings → Business tools → Greeting message.

Toggle it on. Keep it short — one or two sentences. Its job is to acknowledge that the message landed and set a human tone before you reply properly.

Hi, thanks for reaching out. I'll get back to you shortly — if it's about your upcoming stay, feel free to share your booking reference and I can pull up your details.


Step 7: Create Your Label System

Labels are colour-coded tags you apply to conversations to keep them organised. For a single property this is optional. For anyone managing more than two properties it is essential.

Go to any conversation, tap the three dots, and select Label conversation to see the default labels and create your own.

A simple system that works for most multi-property operations:

  • One label per property (e.g. Apt 4B, Lake House, City Studio)
  • Active stay — guests currently in residence
  • Arriving soon — guests within 48 hours of check-in
  • Pending — anything waiting for your action or response
  • Follow-up needed — conversations to revisit after the stay (maintenance reports, issues to log)

The point of labels is not to create a complex filing system. It is to let you glance at your inbox and see immediately which conversations need attention and which property they relate to. Keep the system simple enough that you actually use it.


Step 8: Set Your Business Hours

Go to Settings → Business tools → Business hours and set the hours you are actively available. This information appears on your business profile so guests can see when to expect a response before they've even sent a message.

Set hours that reflect when you actually respond — not aspirational hours. Guests who message at 9am expecting a response within your stated hours and wait three hours will be more frustrated than guests who messaged outside your hours and expected a delay.


You're Set Up. Now Use It Consistently.

A WhatsApp Business account that's properly configured but inconsistently used provides less value than a simple personal number used reliably. The setup is the foundation — what makes it work is the discipline of using the labels, maintaining the quick replies as your property and policies evolve, and updating your away message if your availability changes.

The most common mistake after setup is neglecting the quick replies library. Guest questions change seasonally, properties get new appliances, check-in procedures update. Review your quick replies every three months and edit anything that no longer reflects what a guest would actually need to know.
